Lead with what you would lose

For a practice on a mature, deep system, the useful exercise is the opposite of a feature wishlist: write down what you would genuinely miss. Reporting management relies on, inventory behaviour, and anything touching money are the usual answers. Take that list into every demo and make the vendor show you those specific things using your scenarios, not theirs.

Where practices look

ezyVet is the highest-rated option at 4.6 on Capterra, though reviewers note it needs real configuration effort before it feels good, and that estimates do not carry digitally into invoices. Provet Cloud and Vetspire both suit larger operations. Woovet is cloud and independent of the major groups.

Covetrus Pulse keeps you inside the same portfolio as ImproMed, which some practices prefer. Be aware that Pulse attracts more consistent criticism than the others we cover: reviewers report frequent downtime, weak inventory tracking, limited reports and reminders, and poor support. For a practice moving off ImproMed because of reporting and inventory depth, those are the exact areas to test hardest.

Do not skip the integration audit

Larger practices accumulate integrations quietly: lab, imaging, payments, reminders, pharmacy, referral portals. Write down every system that talks to your practice software today and get each one confirmed in writing by every candidate. This is the most common source of unpleasant surprises after signing.

What actually moves

The part practices underestimate is the data, not the software. Structured records (clients, patients, appointments, invoices, reminders) transfer well. Clinical notes usually transfer but can arrive flattened, with SOAP structure collapsed into plain text. Attachments are the most variable: files rarely vanish, but they can arrive without the link to the right patient.
